Missed call text back: recovering the work you never knew you lost

Here is the thing that makes missed calls so damaging: they leave no trace. A lost quote you at least know about. A complaint you can fix. But the customer who rang while you were under a sink, got no answer, hung up and called the next plumber on Google? You will never know they existed.

They did not leave a voicemail. Almost nobody does any more. They had a problem, you did not pick up, and someone else solved it.

Why voicemail stopped working

A caller with an urgent problem is not in a leaving-a-message mood. They are in a get-this-fixed mood. Leaving a voicemail means waiting, and there is another number right there on the search results page. The behaviour is entirely rational and no amount of a better voicemail greeting will change it.

What missed call text back actually is

The moment a call to your number goes unanswered, an automatic text goes out to the caller. Something like:

Sorry we missed you, we're on a job. What do you need and roughly when? Text back here and we'll come straight back to you.

That is the entire mechanism. It is not clever. It works because it changes the medium from one that requires you to be free right now, to one that does not.

Why it works so well for trades

  • โ—It reaches them in seconds, while they still have the problem and still have their phone in their hand.
  • โ—It lets you reply between jobs rather than dropping your tools, which is the actual constraint.
  • โ—Text is asynchronous, so you are no longer competing on who happened to be free at 11:04am.
  • โ—You get a written record of what they need, instead of trying to remember a phone call.
  • โ—It costs pennies per message.

The details that make the difference

Most implementations of this are done badly, and a badly done one is worse than nothing because it annoys people.

  • โ—Send it within seconds. After a few minutes they have already called someone else and your text is just noise.
  • โ—Ask a question. A text that says 'we'll call you back' gets no reply. One that asks what they need and when gets a conversation.
  • โ—Sound like a human, not a system. Mention that you are on a job, because that is both true and reassuring.
  • โ—Do not send it to existing customers mid-conversation, or to numbers that are obviously not customers.
  • โ—Make sure someone actually reads the replies. An automation that starts a conversation nobody continues is the worst outcome of all.

Replying to someone who has just phoned you is a response to their own enquiry, not unsolicited marketing, so it sits comfortably within UK GDPR and PECR. The rules bite when you start sending promotional messages to people who never contacted you. Anything of that kind needs proper consent and a working opt-out, which we build in as standard.

What to do about it

You do not need to change your number, buy a new phone system or move your business onto a new platform. This layers on top of the number you already have and the software you already use.
